Treatment Activities
As a data controller under the GDPR, we engage in the following processing activities:
Website visits
When you visit our website, we use technically necessary cookies to ensure that
The website works optimally. This means that we store small pieces of data locally in your
browser so that, for example, your menu selections and language settings are remembered as you navigate the
site.
In connection with the operation and security of the website, we may also process technical
information about your visit, including your IP address and browser information.
We do not use cookies to track your behavior or display targeted advertising.
Communication Regarding Inquiries
If you have any questions about our work, or if you would like to find out whether a collaboration might be
relevant, please contact us using the contact information provided on our website.
We process your personal information in this way so that we can respond to your inquiry. We
process only the information that you actively provide to us during our dialogue.
This will typically include general information such as: name, position, organization, email address, and
phone number.
The legal basis for the processing is Article 6(1)(f) of the General Data Protection Regulation (legitimate
interest), as it is part of our association’s purpose to operate the network and respond to inquiries.
Partners and Members
In order to carry out our tasks as a knowledge-sharing association, we must manage our
network of partners, knowledge institutions, members, etc. This involves
processing personal data as well as information regarding ongoing collaborations or
membership, so that we can ensure accurate communication and dissemination.
The legal basis for processing is Article 6(1)(b) of the General Data Protection Regulation, as
the storage is necessary to fulfill the agreement or membership you have entered into
with us.
When our collaboration ends, we will delete or anonymize the personal data that is no longer
necessary for our administrative purposes, unless the law requires longer retention.
Bookkeeping
We are required to retain all accounting documents in accordance with the Bookkeeping Act. This means that we retain invoices and
similar documents for accounting purposes. These may contain general
personal information such as name, address, and a description of services rendered.
Our legal basis for processing personal data for accounting purposes is
Article 6(1) of the General Data Protection Regulation.
We retain this information for at least 5 years after the end of the current fiscal year.
Job Applications
We welcome job applications so that we can assess whether they match a
hiring need within our company.
If you submit your job application to us, our legal basis for processing your
personal data is Article 6(1)(f) of the General Data Protection Regulation.
If you have submitted an unsolicited application, we will immediately assess whether your
application is relevant, and then delete your information if there is no match.
If you have submitted an application for a posted job, we will discard your application
if you are not hired, and immediately after the right candidate has been found for the position.
If you participate in a recruitment process and/or are hired for the position, we will provide you with separate
information about how we process your personal data in this context.
Data Processors
Few people can handle everything on their own, and the same goes for us. We therefore work with a number of
partners and suppliers, some of whom act as data processors.
For example, external vendors may provide systems to help us organize our work,
services, consulting, IT hosting, or marketing.
It is our responsibility to ensure that your personal information is handled properly. That is why we set
high standards for our business partners, and our partners must guarantee that your
personal information is protected.
We therefore enter into agreements with companies (data processors) that handle
personal information on our behalf, in order to enhance the security of your personal information.
Disclosure of Personal Information
We do not disclose your personal information to third parties unless explicit
consent has been given. This could, for example, be in connection with a corporate program.
Transfers to Third Countries
As a general rule, we only use data processors located in the EU/EEA or that store data in
the EU/EEA.

organizational measures.

Right to Rectification (Correction)
You have the right to have any inaccurate information about yourself corrected.

regular general deletion takes effect.
Right to Restriction of Processing
In certain cases, you have the right to have the processing of your personal data restricted. If you
have the right to have processing restricted, we may in the future only process the data—
except for storage—with your consent, or for the purpose of establishing,
asserting, or defending legal claims, or to protect a person or important public interests.
Right to Object
In certain cases, you have the right to object to our otherwise lawful processing of your
personal data. You may also object to the processing of your data for direct
marketing purposes.
Right to Transfer Information (Data Portability)
In certain cases, you have the right to receive your personal data in a structured, commonly
used, and machine-readable format, as well as to have this personal data transferred from one
data controller to another without hindrance.
